Olim Technology Group Launches Its Centralized Mailroom Application with Technology from Siemens

Wednesday 19. September 2012 - Olim Technologies Group, A Data Dimensions Company and leading provider of business process optimization software, has worked with Siemens to add a Module to our already robust Collybus Suite.

The new Module: “ePostman” powered by Siemens, enables clients to manage the traditional physical mail process including ‘white-mail’ in a more efficient and automated manner. In addition, it allows employees and workgroups, enterprise wide, to receive mail despite facility location. More importantly, ePostman promotes compliance regarding regulatory requirements and protects the integrity of our clients’ communications.

Regarding the distribution of ‘white-mail’, envelopes are digitized and images are imported into ePostman. Images of the envelopes and instructions are routed to the employee indicated on the address label via email. The employee has the ability to select whether they would like:
1) The envelope to be open, and the contents scanned and the images sent to them via email
2) Request the envelope remain closed and the physical envelope be brought to them
3) Ask for the mail to be discarded -OR-
4) Indicate that the imaged envelope was incorrectly emailed to them
ePostman enables employees to receive their mail without needing to physically be in the office while promoting a paperless environment. Our clients’ employees can manage their mail via email using their computers, laptops, tablets or smartphones.
Regarding the processing of incoming mail, ePostman easily integrates images into the appropriate workflow and/or distributed to: work groups, departmental managers, and upper management. Digital mail is securely archived. If needed, the physical envelope and its correspondence can also be stored.
For added security that may be required for sensitive documents, ePostman offers a digital signature. This process is compliant with regulatory requirements.
